1. INTRODUCTION

This Customer Agreement (“Agreement”) sets out the terms and conditions between True Scotsman Golf Trips (“TSGT”, “we”, “us”, “our”) and the customer(s) (“you”, “traveler”, “client”) for the planning, arranging, and delivery of golf travel services and itineraries.

By paying the planning fee or any deposit, you agree to be bound by these terms.

2. SERVICES PROVIDED

TSGT provides custom golf travel planning including, but not limited to:

  • Tee time research and booking

  • Accommodation research and booking

  • Transportation coordination and booking

  • Itinerary design

  • Local recommendations

  • Support during your trip

TSGT acts as a tour planner and coordinator only. Golf courses, hotels, transportation providers, and all other suppliers are independent third parties.

3. PLANNING FEE

A non-refundable planning fee is required to begin itinerary design and supplier engagement.

  • Planning fee amount will be stated in your proposal or email.

  • The planning fee covers research, planning time, supplier coordination, and itinerary design.

  • It does not cover trip costs such as tee times, accommodations, transportation, or meals.

4. DEPOSITS & PAYMENTS

4.1 Supplier Deposits

Many suppliers (golf courses, hotels, transportation providers) require deposits or full payment at the time of booking.

These terms are set by suppliers, not TSGT.

  • You agree to pay any required deposits promptly to secure your trip elements.

  • Failure to pay a deposit by the deadline may result in loss of availability.

4.2 TSGT Trip Deposit

If TSGT is collecting funds on behalf of the group, deposit amounts will follow the requirements of the individual suppliers (golf courses, hotels, transportation providers, etc.).

Deposits may be collected in one or more stages.

  • Initial Deposit: An initial deposit (amount or percentage) will be specified in your quote and is required upon trip confirmation.

  • Additional Supplier Deposits: Some suppliers require further deposits or staged payments (e.g., 25%, then 50%, then final balance). These will be communicated as they arise and must be paid by the stated deadlines.

  • Your spot is not confirmed until the required deposits have been received.

  • Failure to pay deposits by the specified deadlines may result in the loss of reservations.

4.3 Final Payment

Final payment deadlines will follow supplier policies or the date communicated by TSGT.

Unpaid balances may result in cancellation of services without refund.

5. CHANGES, CANCELLATIONS & DROP-OUT POLICY

5.1 Customer-Initiated Cancellations

If you or any group member cancels:

  • Supplier cancellation policies apply (many golf courses and hotels are non-refundable).

  • TSGT planning fee is always non-refundable.

  • Any request for partial refunds from suppliers will be pursued where possible, but not guaranteed.

5.2 Group Size Changes

If a traveler drops out after deposits are paid or tee times/accommodation are confirmed, the following applies:

  • Remaining travelers are responsible for any change in pricing
    (e.g., room costs, transportation, per-person tee time rates).

  • If the group size drops below the minimum required for a supplier rate, the group must cover the difference.

  • If the trip was priced assuming cost-sharing (e.g., splitting a host’s room, vehicle, or driver), those costs will be redistributed among remaining travelers.

5.3 Substitutions

You may substitute another traveler if allowed by suppliers.

Name changes may incur fees.

6. ITINERARY CHANGES

TSGT will make reasonable efforts to maintain the agreed itinerary, but reserves the right to make changes due to:

  • Supplier availability

  • Weather

  • Course maintenance

  • Operational issues

We will provide equivalent alternatives whenever possible.

7. PRICING & CURRENCY FLUCTUATIONS

Trip pricing is dependent on supplier costs, exchange rates, and availability.

TSGT reserves the right to adjust final pricing if:

  • Supplier prices change

  • Currency fluctuation impacts costs (GBP/EUR vs USD)

  • Taxes or fees change

You will be informed of any changes before payment is requested.

8. CLIENT RESPONSIBILITIES

You agree to:

  • Provide accurate traveler information (names, handicaps if required).

  • Pay deposits and balances on time.

  • Review your itinerary and confirm accuracy.

  • Follow local laws, course rules, and hotel policies.

  • Ensure you have valid passports, visas, and travel insurance.

9. FLIGHTS & TRAVEL TO SCOTLAND

TSGT does not book or manage flights or other international travel arrangements. Customers are responsible for booking their own flights and ensuring their arrival aligns with the trip itinerary. TSGT is not liable for any delays, cancellations, missed connections, or costs arising from air travel.

10. TRAVEL INSURANCE

TSGT strongly recommends that all travelers purchase comprehensive travel insurance, including:

  • Trip cancellation coverage

  • Medical coverage abroad

  • Lost luggage

  • Coverage for golf equipment

TSGT is not liable for losses due to lack of insurance.

11. LIABILITY & DISCLAIMER

TSGT is not responsible for:

  • Acts or omissions of hotels, golf clubs, transportation providers, or other suppliers

  • Trip interruptions or cancellations due to weather

  • Delays, strikes, government actions, or force majeure events

  • Personal injury, illness, property damage, or loss

  • Errors or changes made by suppliers

TSGT’s liability is limited to the value of the planning fee paid.

12. FORCE MAJEURE

TSGT is not liable for any failure to perform obligations due to events outside our control, including:

  • Weather events

  • Natural disasters

  • Pandemics

  • Civil unrest

  • Supplier closures

  • Travel restrictions

Refunds in such events are subject solely to supplier policies.

13. HOSTED TRIPS

For trips hosted by a TSGT representative:

  • The host’s travel costs (e.g., accommodation) may be spread across travelers as disclosed in your proposal.

  • If the host becomes unable to travel, the trip will proceed without a host unless otherwise stated.

  • Host participation does not create a duty of care beyond reasonable assistance.

14. USE OF PHOTOS, VIDEO & TESTIMONIALS

TSGT may capture photos and videos during hosted trips. By participating in a TSGT-hosted trip, customers consent to the use of these images and recordings for marketing and promotional purposes, including on our website, social media, and printed materials.

If customers share photos, videos, or testimonials with TSGT—either directly or through public social media posts—TSGT may use this content for promotional purposes. TSGT will never share personal contact details or sensitive information.

Customers who prefer not to appear in promotional content may notify TSGT in writing.

15. GOVERNING LAW

This Agreement is governed by the laws of the State of Florida, without regard to conflict-of-law principles.

16. ACCEPTANCE

By paying the planning fee or any deposit, you acknowledge that you have read, understood, and agreed to this Agreement.
